Effectively coaching your hostess can benefit your business in so many different ways. It is important for your hostess to know that you are a team and that you will work with her to assure a successful show and make sure she gets the most out of your host program. Being in constant contact with your hostess is the best way to avoid cancelled shows and low attendance. Invest a little extra time with your hostess and you will find that the pay off for both of you is huge!
I use a checklist to keep track of my communication with my hostesses. This helps me focus my efforts on the most important tasks and remember to give my hostesses the best VIP service.

At Time of Booking

• Briefly review hostess materials
• Set a due date for her to get you her guest list(if you are doing the invites) OR date she needs to have invites mailed by
VIP SERVICE TIP- Take care of the invitations for your hostess. All she has to do is get you her guest list and you take care of the rest!
• Schedule phone call #1 day/time
VIP SERVICE TIP- Send your hostess a thank you card/postcard asap after booking.

Phone Call #1
(within 48 hours of booking)

• Confirm date of show
• Remind her to over-invite/personally invite
• Discuss importance of collecting outside orders
• Invite her to think about turning her show into her business launch
• Remind her of guest list due date OR invitations out by date

Phone Call #2
(when you receive guest list OR day after invites out date)

• Confirm mailing of invitations
• Express your excitement and keep hostess excited
• Help her make her wish list
• Check on outside order status

Phone Call #3
(5 days before show)

• Reassure her that we will have a great show
• Discuss preliminary guest count
• Discuss having her make reminder calls to guests
• Review party closing date and shipment procedures
• Remind her to keep refreshments simple
VIP SERVICE TIP- Keep a good attitude and approach everything as good news. If she has low attendance then... Great! That means we can call some of our guests and let them know we have room so they can bring a friend.

 
Phone Call #4
(day before show)

• Get directions and let her know your arrival time
• Confirm she has made reminder calls
• Remind her to think about turning her show into her business launch
